The successful candidate will be responsible for providing comprehensive administrative support within the company. The position will also work closely with the Recruitment Team to ensure a high quality of administration and compliancy is maintained throughout.
Main Duties and Responsibilities:
Recruitment Administrator:
– Loading documentation onto recruitment software
– Undertake compliancy searches for all candidates, chasing for outstanding | expired documentation
– Responsible for producing, distributing and uploading contractor contracts
– Sourcing and booking travel (including flights) for staff and contractors
– Deal with telephone calls and emails efficiently and in a polite manner
– Assisting with E-learning administration
– General administrative duties
Airside Pass Vetting Coordinator:
– Check and process airside pass applications in line with the relevant standards
-Collation of 5-year background references from companies/agencies/education establishments and any other person relevant to applicant’s background check and verify their authenticity
– Collation of DBS Checks relevant to their country of residency and countries of work
– Maintain the pass trackers for all company pass applications ensuring all information is kept up to date and accurate
– Manage data and files and ensure all information is kept secure and in accordance with the relevant Data Protection policies
– Undertake compliancy check on all candidates, chasing for outstanding and due to expire documentation
– Review parked, expired, and surrendered passes and take the appropriate action to remain compliant with the relevant airport
– Resolve any issues by liaising with the relevant support teams/airport authorities in a good timely manner when difficulties arise
– Monitor operational deadlines and complete the appropriate follow-up to ensure pass application success
– Develop and maintain good internal and external working relationships
– Deal with telephone calls and emails efficiently and in a polite manner
– General administrative duties as necessary
Person Specification:
Essential:
– Previous experience working within a busy office environment
– Strong administration and organisational skills
– Excellent communication skills
– The ability to prioritise
– Attention to detail is essential
– Able to work well within a team whilst also using own initiative
– Pleasant telephone manner
– Flexibility within the role
– Experience of using Microsoft Outlook, Microsoft Word, Excel and database systems
– Previous experience of security vetting, undertaking background checks and DBS checks would be desirable
Qualifications:
– Educated to GCSE standard or equivalent
